How does the estimating-to-invoicing workflow work?

JobOpsPro connects tiered estimates, customer approvals, jobs, invoicing, and payment records in one residential contractor workflow. Approval creates a new job when one is not already linked. Your team schedules the work, creates a draft invoice from the approved option, and reviews it before sending. Customer payment processing currently uses simulation.

How do tiered estimates become a clear customer decision?

A residential service call can have more than one solution. Build good, better, best options with labor, equipment, and material line items from your pricebook. Each option has its own scope and total, so the homeowner can compare what is included before making a decision.

Present the proposal on a phone or tablet, or send a branded approval link. The selected option and signature stay with the estimate record rather than in a separate email conversation. Your company branding carries through customer-facing estimates and invoices.

What can be automated before approval?

An estimate that has been sent should not disappear into an inbox. Automated estimate follow-ups can remind customers to review their proposal and return to the approval link. Your company controls the follow-up cadence and maximum number of reminders in messaging settings.

Email follow-ups and optional ClickSend SMS keep the conversation tied to the estimate. SMS depends on your company’s connection and the customer’s consent. The messaging history records delivery status so the office can distinguish a sent reminder from a failed attempt.

How does approved work reach the technician?

Approval automatically creates a new job when the estimate does not already have one. The job is ready for scheduling, not automatically assigned or booked. For larger scopes, starting a project from the estimate is a separate action. Linked records let your team refer back to what the homeowner approved.

Scheduling and dispatch give the office a place to assign the technician and appointment. Job details, customer information, and status history help the office and technician stay aligned. Approval is not the same as a completed job or a collected payment: your team still manages the appointment, completes the work, and reviews the bill.

How do invoices and payments stay connected?

Use Create Invoice on an approved estimate to copy the selected option’s line items, discount, and tax into a draft invoice. Review and finalize it before emailing the customer an invoice link. Completing a job does not automatically create or send the invoice.

Invoice and payment records show billing and outstanding balances. Customer portal payments currently run in simulation, not live card processing or settlement. After your company configures its QuickBooks Online connection, sync customers, finalized invoices, and payment records. Accepting a proposal does not itself charge the homeowner.

What should the office check at each handoff?

  • Confirm the homeowner’s selected option and signature.
  • Check the linked job, technician, and appointment.
  • Review the invoice scope, line items, and total.
  • Confirm payment records and the remaining balance.

Frequently Asked Questions

Can I offer good, better, best estimates?
Yes. Build tiered options using pricebook line items so a homeowner can compare scope and pricing before choosing an option.
How does a homeowner approve an estimate?
Capture a typed signature in person on a phone or tablet, or send a branded approval link for the customer to review the options and approve remotely.
Which transitions are automatic?
Approval creates a new, unscheduled job when the estimate has no linked job. Scheduling, starting a project, creating the draft invoice, finalizing it, and sending it are separate actions your team controls.
Does approval automatically charge the customer?
No. Approval records the customer’s decision. Invoicing and payment are separate steps. The current customer portal simulates payments rather than processing live charges or settling funds.
Can I follow up on an estimate that has not been approved?
Yes. Company messaging settings include automated follow-up for sent estimates. Set the cadence and maximum number of follow-ups; SMS requires a configured ClickSend connection and customer consent.
How much does this workflow cost?
$25 per user per month. Every module is included, with unlimited customers and jobs, no implementation fee, and no annual contract.
