Switching From Spreadsheets And Paper: A Two-Week Plan For Trade Shops
1 min readJobOpsPro
A realistic migration plan for electrical and plumbing contractors moving off paper tickets and spreadsheets, with a week-by-week checklist.
You do not need a six-month implementation to leave paper behind. You need two weeks and a willingness to run parallel for a few days.
Before You Start
Decide who owns the rollout. One person in the office, one technician who is willing to be first. Software rollouts fail when everyone is responsible.
Week One: Data And Pricebook
- Export customers and service addresses from your current spreadsheet or invoicing tool and import them.
- Build the pricebook with your top 40 items. Not all of them — the ones that cover most tickets.
- Add technicians with their skills and licenses.
- Set up your company branding so estimates and invoices carry your logo.
Week Two: Run Parallel
- Dispatch a normal day on the board while still writing paper tickets. Compare at the end of the day.
- Have one technician complete every job in the field app: time clock, photos, parts, and estimate.
- Send five real invoices with payment links and watch how fast they get paid.
Go Live
Stop printing tickets. Keep the paper pad in the truck for a month as a fallback nobody is supposed to need.
What To Measure After 30 Days
Average days to invoice, estimate approval rate, and how many callbacks the office fields about arrival times. Those three numbers move first and they are what justify the change to a skeptical crew.
Cost
$25 per user per month, unlimited customers and jobs, with dispatch, estimating, invoicing, inventory, memberships, and the customer portal included. Add a seat when you hire; remove it when you do not need it.
