Field workflow

Clock in, review equipment history, capture photos, and complete the job.

6 min readFor technicians and installers

What you'll learn

  • Start the day and clock in from a phone
  • Review equipment and service history before knocking on the door
  • Document work with photos and materials used
  • Close the job so the office can invoice the same day

Step by step

  1. 1

    Start your day

Open the Technician View to see your assigned stops in order. Clock in when you begin — time entries attach to the job, so payroll and job costing both stay accurate.

  2. 2

    Mark en route and arrived

Tap En Route as you leave for the stop. The customer gets an automatic notification. Tap Arrived when you're on site — this starts the on-site clock the office sees on the board.

  3. 3

    Review the equipment record

Before you start, open the equipment on file: model, serial, install date, warranty status, and every prior visit. Knowing the last tech replaced a capacitor six months ago changes the diagnosis.

  4. 4

    Document the work

Capture before-and-after photos, add notes in plain language, and record every part you used. Materials pulled from your truck decrement inventory automatically.

  5. 5

    Present options on site

If the repair needs approval, build a Good / Better / Best estimate on the spot and collect a signature on the device. Approved work becomes an invoiceable job without another trip.

  6. 6

    Complete and clock out

Mark the job complete, confirm labor time, and clock out. The office sees the finished job immediately and can invoice while you drive to the next stop.

Tips and common mistakes

  • Photos are your best defense in a callback dispute. Two minutes of documentation saves an hour of argument.
  • Write notes the customer could read. They often end up on the invoice.
  • Recording materials as you use them is faster than reconstructing the truck stock on Friday.
